EXECUTIVE ASSISTANT

Wah Pow Healing Lodge is seeking a highly organized, professional, and confidential Executive Assistant to support the Executive Director and Board of Directors. This position plays a key role in providing administrative, governance, and financial support while helping ensure the efficient day-to-day operations of the organization.

The successful candidate will demonstrate strong organizational skills, attention to detail, professionalism, and the ability to maintain confidentiality while working collaboratively with staff, leadership, and community members.

ESSENTIAL QUALIFICATIONS:

  • Grade 12 Diploma required
  • Post-secondary certificate or diploma in Office Administration, Business Administration, or a related field preferred
  • Minimum of one (1) year of office administration experience
  • Ability to maintain strict confidentiality
  • Ability to provide a satisfactory Criminal Record Check and Child Welfare Information System (CWIS) Check
  • Willingness to complete required training

ASSET QUALIFICATIONS:

  • First Aid Certification
  • Experience working or living in a First Nation community
  • Knowledge of First Nations culture and traditions

DUTIES AND RESPONSIBILITIES:

Office Administration (40%)

  • Provide confidential administrative support to the Executive Director and Board of Directors
  • Manage calendars and schedule appointments
  • Prepare correspondence, reports, agendas, and meeting minutes
  • Coordinate meetings and travel arrangements
  • Serve as the primary point of contact for administrative communications

Board Administration (30%)

  • Coordinate Board and Committee meetings
  • Prepare meeting packages
  • Record, distribute, and maintain meeting minutes
  • Maintain Board records and organizational policies
  • Provide ongoing administrative support to the Board of Directors

Financial Administration (20%)

  • Assist with accounts payable and receivable
  • Process expense claims
  • Provide payroll and timesheet support
  • Act as a liaison between staff and the finance department

Other Duties (10%)

  • Support accreditation activities
  • Promote effective communication and teamwork
  • Maintain confidentiality in all aspects of the role
  • Perform additional administrative duties as assigned

WORK ENVIRONMENT:

  • Professional office environment
  • Frequent interaction with leadership, staff, Board members, and community partners
  • Requires strong organizational, communication, and multitasking skills

CONDITIONS OF EMPLOYMENT:

  • Successful Criminal Record Check and Child Welfare Information System (CWIS) Check
  • Completion of required organizational training
  • Must maintain confidentiality at all times

SALARY:

To be determined upon hire.
